What Is n8n? A Guide to Business Automation (2026)

What is n8n?

n8n (pronounced "n-eight-n", short for "nodemation") is a workflow automation tool. It connects your applications and runs chains of tasks automatically: when something happens here, do this over there, then notify that person.

In one sentence: n8n is the conductor of your digital tools. Your email, CRM, ERP, spreadsheets, HR software and now AI models: n8n makes them work together, with no re-typing.

A few facts:

• n8n is developed by a German company based in Berlin.
• It offers more than 500 ready-made integrations ("nodes"), plus a generic node to call any API when no integration exists.
• You can use it in two ways: hosted by the vendor (n8n Cloud), or self-hosted on your own servers, for example with Docker.
• The source code is public on GitHub. The license (the "Sustainable Use License", which the vendor calls "fair-code") allows free use for your company's internal business purposes. Reselling n8n as a service or using some advanced features requires a commercial license. So it is not open source in the strict sense, but a company automating its own processes pays no license fee to self-host it.

An example

You receive an email with a supplier invoice attached. Today, someone downloads it, renames it, files it in the right folder, forwards it to accounting and updates a tracking sheet. A few minutes each time, dozens of times a week.

With n8n, you draw that path once as a "workflow" (a chain of connected blocks): the email arrives, the attachment is extracted, renamed, filed and forwarded, and the tracking row is added. Nobody had to think about it.

Automation is not new: Zapier, Make and Power Automate have done this kind of work for years. What n8n brings is a combination of three things: self-hosting, the freedom to drop down to code when needed, and deep AI integration.

Why n8n rather than another tool?

• Your data stays with you. When self-hosted, the data flowing through your workflows does not go through a vendor's servers. In some sectors (healthcare, finance, industry, public sector), that is often the condition for automating at all.

• It is visual. You build automations by connecting blocks on screen. A non-developer can read a workflow and understand what it does, which makes maintenance easier.

• It is extensible. When a standard block is not enough, you can write code (JavaScript or Python) in a dedicated node, or call any API directly.

• Costs are predictable. Self-hosted, there is no per-execution billing: the budget goes to setup, hosting and maintenance, not to a subscription that grows with usage.

The trade-off: self-hosting n8n means running it yourself (updates, backups, server security, monitoring). It is worth planning for from day one.

What changed in 2026

Version 2.0 (December 2025) hardened the tool for business use. Code written inside workflows now runs by default in isolated environments ("task runners"), and access to environment variables from code nodes is blocked by default. Some sensitive nodes, such as the one that runs commands on the server, are disabled by default. Another practical change: saving a workflow no longer pushes it to production. You now publish it explicitly, so a work-in-progress edit cannot break a running automation.

AI has become a core use case. n8n lets you build AI agents: a language model with tools (reading a CRM, searching a document base, sending a message) that decides which ones to use to complete a task. You can plug in the major models on the market, or models running locally, and switch models without rebuilding the workflow. n8n also handles search over your internal documents ("RAG"), conversation memory and MCP, the protocol that has become a standard for connecting AI agents to tools.

Humans stay in the loop. You can add a human approval step before an agent acts (sending an email, editing a customer record), and every execution can be inspected in detail: what the model was asked, what it answered, and what happened next.

What is it used for in a business?

• Admin and finance: collect invoices received by email, extract the key data with AI, file them and prepare them for entry; send payment reminders based on defined rules.
• Sales: enrich and deduplicate incoming contacts, route a website form request to the right salesperson, create the CRM record and notify the team.
• HR: sync applications between job boards, the recruiting tool and the CRM; automate onboarding steps (account creation, documents, reminders).
• Customer service: pre-qualify incoming requests with an AI model, draft a reply, and have a human approve it before sending.
• Operations: get an alert in the team's messaging tool when a metric crosses a threshold, compile a weekly report from several data sources.

The common thread: repetitive, time-consuming, low-value tasks that follow clear rules. That is where automation pays off fastest, and where you should start.

Getting started

1. Pick one specific pain point, not a big program: a task repeated often, by several people, with simple rules.
2. Test on n8n Cloud or a local install to validate the idea without committing to infrastructure.
3. Decide on hosting before going to production: vendor cloud or your own server, with what that means for maintenance and security.
4. Train one or two people in-house so they can evolve workflows without calling a contractor for every change.

FAQ

Is n8n free?

Self-hosting n8n for your company's internal needs requires no license. You pay for hosting and for setup and maintenance time. The vendor-hosted version (n8n Cloud) and advanced features for large organizations are paid.

Is n8n open source?

Not in the strict sense. Its source code is public, but its license (the Sustainable Use License) restricts some commercial uses, such as reselling n8n as a service. The vendor calls it "fair-code". For automating a company's internal processes, the license is not a constraint.

Do I need to code to use n8n?

Not for simple automations: you connect blocks on screen. Some technical basics (what an API is, reading JSON data) quickly become useful to go further.

How does n8n compare to Zapier and Make?

All three automate tasks between applications. Zapier and Make are hosted services only, billed by execution volume. n8n can be self-hosted, which keeps your data with you and makes cost independent of volume, at the price of running it yourself.
